Cancellation Policy

Individual Bookings

Payment terms

  • Payment is made in full upon booking completion through our website.

Cancellation

  • Cancellations made up to 3 hours before the tour’s starting time are entitled to a 100% refund. Within 3 hours of the tour, all bookings become non-refundable.
  • All bookings made with a campaign promo code are only exchangeable, not refundable.

Private Group Tours Including any group booking with more than 6 people

Initial deposit

  • A non-refundable deposit of 25% of the total package cost is required to finalise and secure private group tour bookings.
  • This deposit confirms your booking and initiates the planning process.

Final payment

  • The remaining 75% of the total package cost is invoiced after our team completes all itinerary planning and booking reservations.
  • All planning and reservations are completed within 1 week of the original booking date.
  • Final invoices are due within 30 days of the invoice date.
  • Full payment must be received before the tour begins.

Cancellation — full refund (up to 75%)

  • Cancellations made up to 15 days before the scheduled tour date are eligible for a refund of up to 75% of the total package cost.
  • The initial 25% deposit remains non-refundable.

Cancellation — partial refund (up to 50%)

  • Cancellations made between 15 days and 48 hours before the scheduled tour date are eligible for a refund of up to 50% of the total package cost.
  • The initial 25% deposit and 25% of the remaining balance are non-refundable.

Cancellation — no refund

  • Cancellations made within 48 hours of the tour’s scheduled start time are completely non-refundable.
  • No refunds will be issued for no-shows or late arrivals.
  • All bookings made with a campaign promo code are only exchangeable, not refundable.

Exchange policy

  • If your travel plans change, exchanges are possible as long as the tour is rebooked within 1 year of the original booking date.
  • No refunds will be issued for any exchanges.
  • The new booking must be for a comparable tour package of equal or greater value.
  • Any price differences must be paid at the time of rebooking.

Important notes

  • All cancellation requests must be made in writing via email to hej@xperiencesthlm.com.
  • The cancellation date is determined by the date the written cancellation is received.
  • We recommend purchasing travel insurance to protect against unexpected changes to your travel plans.
  • These terms apply to all private group tour bookings and are subject to change without notice.
